Lifestyle managers
The role of a Lifestyle Manager is to provide solutions to requests, which we receive from members, relating to their homes and lifestyles, within specified time frames.
A lifestyle Manager acts as a representative on behalf of our members to suppliers and outside organisations. They need to develop and nurture a strong relationship of trust, integrity and understanding with members. Their focus is to add value to every request from a member and on every job that we organise for members.
Person Specification
The ideal candidate should:
• Be of degree calibre
• Have exceptional verbal and interpersonal skills when dealing with members and suppliers, working in a calm and professional manner at all times
• Be able to work independently and perform well with little supervision
• Be dedicated to customer satisfaction, show a willingness to do what it takes to get the job done, acting with tact and diplomacy and demonstrating excellent problem solving skills
• Have excellent computer skills and have ideally had training on use of the internet
• Have outstanding communication skills – both written and verbal
• Be able to multitask and handle several projects at the same time
• Provide intelligent and resourceful replies to members requests while maintaining a commercial focus
• Demonstrate strong administration skills and be able to prioritise workloads to meet strict deadlines while ensuring that the member’s request has been met
• Be detail orientated and deadline driven to ensure that demanding standards are met.
• Work with an emphasis for detail and follow through as required. The highest customer service standards are expected and must be maintained at all times.
Reception Co-ordinator
Responsible to: Facilities Manager
• Manage the reception area to include meeting visitors and management of the meeting rooms.
• Assisting with the role of the Facilities Manager.
• Managing the switchboard and mainline calls into Ten.

Office Duties and Responsibilities:
Overall responsibility for the following:
• Ensure reception area is kept tidy and presented professionally
• Collating daily schedule of meetings and greeting visitors to the office
• Maintain the schedule and adherence to the meeting room calendar
• Monitoring meeting rooms (use-of and tidiness)
• Assist Operations Development manager coordinating invites & meeting rooms space to training (induction; Ten presentations; general training)
• Monitor and order stationary as well as unpacking when it arrives
• Monitor and order refreshments and unpack on arrival
• Following up with BS&HS Management (landlords)
• Managing cleaner/Chalcot House
• First Mile Account Manager (stocks of bin bags etc)
• General assistance to Facilities Manager on day to day basis
• Organise all couriers for VIP and other Ten departments
• Ad-hoc departmental assistance where appropriate (to be fed into and managed by Facilities Manager)
Assistance with Post:
• Receiving the Ten post daily and ensuring all departments receive their mail (coordinating specifically with Travel & Finance as appropriate)
• Liaising with the travel administrator assisting the coordination of travel documents – specifically recorded/special delivery
• Liaising with finance administrator specifically with sending out invoices
• Management of all outgoing mail, specifically arranging recording and special deliveries and franking other mail
• Sign-off daily the outgoing mail to the postman at 5pm
Manning Mainline & switchboard calls:
• Be available to take the majority of mainline calls & switchboard calls into Ten
• Liaise with Business Development, IT, and Finance to be well briefed on the correct procedure for call forwarding/messages.
• Communicate the above procedures with Lifestyle Managers and other members of staff who take overflow mainline calls to maintain continuity
